GRUNT is an iOS application developed and operated by GET GRUNT ABN 95 151 450 531 ("we", "us", or "our"), based in Australia. GRUNT helps tradespeople create professional quotes and invoices by recording voice input and using artificial intelligence to generate structured documents.

This Privacy Policy explains how we collect, use, store, and disclose your personal information when you use the GRUNT app. We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using GRUNT, you agree to the collection and use of information as described in this policy.

2. Information We Collect

2.1 Account Information

When you create a GRUNT account, we collect:

  • Your name and email address (provided via Sign in with Apple or manual registration)

  • Apple User ID (an anonymised identifier provided by Apple when you use Sign in with Apple)

  • Subscription status and tier

  • Your phone number (if provided)

2.2 Voice and Audio Data

GRUNT's core function is voice-to-document generation. When you use the app:

  • We record audio input from your device's microphone when you actively initiate a recording

  • Audio is transmitted to our AI processing service to generate quote and invoice content

  • We do not store raw audio recordings after processing is complete

  • You are responsible for obtaining consent from any third parties whose voice may be captured

2.3 Business and Trade Data

To generate professional documents, GRUNT processes information you provide, including:

  • Your business name, ABN, and contact details

  • Client names and contact information

  • Job descriptions, materials, labour, and pricing

  • Quote and invoice content you create within the app

2.5 Usage and Technical Data

We automatically collect limited technical information to operate and improve the app:

  • Device type, operating system version, and app version

  • App usage patterns and feature interactions (aggregated and anonymised where possible)

  • Crash reports and error logs

  • Subscription transaction records (processed by Apple — we do not receive your payment card details)

3. How We Use Your Information

We use the information we collect to:

  • Provide the core GRUNT service — converting voice input into professional quotes and invoices

  • Create and manage your account and subscription

  • Sync documents with connected accounting platforms (Xero, MYOB) where authorised

  • Improve and develop the app and its AI capabilities

  • Send you important service communications (e.g. subscription renewals, policy changes)

  • Comply with legal obligations, including Australian tax law requirements

  • Detect and prevent fraud, abuse, or security incidents

4. AI and Third-Party Processing

GRUNT uses third-party AI services to process your voice input and generate document content. Your audio and the resulting text data may be transmitted to these services for processing.

We take reasonable steps to ensure our AI service providers maintain appropriate data security standards. These providers act as data processors on our behalf and are contractually restricted from using your data for their own purposes.

Current AI processing may be conducted by providers outside of Australia. Where this occurs, we take reasonable steps to ensure equivalent privacy protections apply, consistent with APP 8 (cross-border disclosure of personal information).

5. Disclosure of Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

5.1 Service Providers

We engage trusted third-party providers to operate our service, including cloud hosting, AI processing, and analytics. These providers are bound by confidentiality obligations and may only use data as directed by us.

5.2 Accounting Integrations

When you connect GRUNT to Xero or MYOB, relevant data (such as invoice and contact details) is shared with that platform in accordance with your instructions and their own privacy policies.

5.3 Legal Requirements

We may disclose information if required by law, court order, or government authority in Australia or elsewhere, or where we reasonably believe disclosure is necessary to protect the safety of any person or to investigate fraud or security incidents.

5.4 Business Transfers

If we merge with, are acquired by, or sell all or part of our business, your information may be transferred as part of that transaction. We will notify you of any such change and your rights regarding your data.

6. Data Storage and Security

Your data is stored on secure cloud infrastructure. We implement industry-standard security measures including:

  • Encryption in transit (TLS) and at rest

  • Access controls limiting who can access your data within our organisation

  • Regular security reviews

While we take reasonable steps to protect your information, no method of electronic storage or transmission is completely secure. We encourage you to use a strong, unique password and to contact us immediately if you suspect unauthorised access to your account.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the service. Specifically:

  • Account and business data: retained for the duration of your subscription plus 7 years (to meet Australian tax record-keeping obligations)

  • Voice audio: not retained after AI processing is complete

  • Generated quote and invoice documents: retained until you delete them or close your account

  • Usage logs and crash reports: retained for up to 12 months

If you delete your account, we will delete or de-identify your personal information within 30 days, except where we are required by law to retain it.

8. Your Privacy Rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you

  • Request correction of inaccurate or out-of-date information

  • Request deletion of your personal information (subject to legal retention obligations)

  • Opt out of direct marketing communications

  • Complain about how we have handled your personal information

To exercise any of these rights, please contact us at the details in Section 11. We will respond to access and correction requests within 30 days.

9. Children's Privacy

GRUNT is designed for use by tradespeople and business owners and is not directed at children under the age of 15. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us and we will promptly delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy within the app and updating the Effective Date above. Where required by law, we will seek your consent to material changes.

Your continued use of GRUNT after any changes constitutes your acceptance of the updated policy.
